These procedures describe how to use your Faculty Center in CMS Student/HR for teaching schedule, class roster, entering grades and other functions related to your work at CSUMB.

How To's - Registration and Enrollment

Understanding Service Indicators

  1. Navigation:  CMS Student/HR > Main Menu > Campus Community > Student Services Center.
  2. Click a Service Indicator icon ("red star" and "do not" symbols) to view details about the student's active service indicators.
  • If student has active service indicators the red "Star" and "Do Not" icons are at the top of the page.
  • "Star" icons represent positive service indicators and "Do Not" icons negative service indicators (holds).
  • Service indicators are an administrative tool used to provide or deny services to a students.
  • Faculty may not place or remove service indicators (holds) on student records. (Contact Records and Registration.)

Use the Class Search function

  1. Navigation:  CMS Student/HR > Main Menu > Self-Service > Faculty Center.
  2. Click the Class Search tab.
  3. Search using either the class schedule or browse catalog options.
  4. See the Quick Steps document at the top of this page for more detailed information. 

Issue Class Permission Number(s)

  1. Class permission number needed by student to enroll when:
      - Class requires instructor consent.
      - To override unmet prerequisites.
  2. Procedures for issuing vary depending on departmental policy.
  3. Department staff generate class permission number lists.
  4. Either instructor or department staff distributes the permission number to affected student.
  5. Student uses class permission number to enroll via their self-service Student Center.
  6. Number is valid for only specific class section and may only be used once.

How To's - Teaching Schedules and Rosters

View My Teaching Schedule in List Format

  1. Navigation: CMS Student/HR > Main Menu > Self-service > Faculty Center.
  2. View classes in My Teaching Schedule section at top of page.
  3. Use Change Term button to select desired Term.
  4. Use radio buttons to Show All Classes or Only Classes with Enrollment. (These display classes in list format. )
  5. Click Class name link to view Class Details page for more information.

View My Weekly Teaching Schedule

  1. Navigation: CMS Student/HR > Main Menu > Self-service > Faculty Center.
  2. Click View My Weekly Schedule button.
  3. View schedule in weekly calendar view.
  4. Use options to change the week starting date, start and end times.
  5. Select from various Display Options (such as Show AM/PM (default), Instructor Role, and Class Title).
  6. Eliminate days of week from view by deselecting each day.
  7. When done selecting Display Options click Refresh Calendar button.

View my Class Rosters

  1. Navigation: CMS Student/HR > Main Menu > Self-service > Faculty Center.
  2. View classes in My Teaching Schedule section in the middle of the Faculty Center Tab page.
  3. Click Class Roster icon (on the left of the desired class).
  4. Class Roster page displays with students enrolled. 

Print Class Roster *

  1. Make sure to allow pop-ups and enable downloads from Internet Explorer.
  2. Navigation: CMS Student/HR > Main Menu > Self -Service > Faculty Center.
  3. Click on Class Roster icon (on the left of the desired class).
  4. Click the Download icon on the top of the class roster.
  5. File will open in Excel.

Alternative (Printer Friendly Version):

  1. Scroll down to the bottom of the roster
  2. Click the Printer Friendly Version link
  3. With the roster displayed, selct File > Print from the browser menu.
  4. Ensure that the Print Options are set to print "only the selected frame".

View Student (Non-Advisee) Information

  1. Navigation:  CMS Student/HR > Main Menu > Self-service > Advisor Center > My Advisee.
  2. Read the FERPA warning.
  3. Click View Student Information button to lookup a student details.
  4. Enter student's last and first name...Partial name searches are allowed.
  5. Click the Lookup button.
  6. In the search results, if any, click on the correct, hyperlinked student's name. If only one student matches the search criteria you won't see a search results screen.
  7. The Student Center page will open.
  8. View student class schedule and contact information.
  9. Select an option from the Student Details drop down list (Academic Requirements Report, Advisor Notes, Advisor Change, Enrollment Appointments, Grades, Transfer Credit Report or Withdrawl, Repeat Limits).
  10. Click the Change button to view the data.

View FERPA Information

  1. Navigation: CMS Student/HR > Main Menu > Self-service > Faculty Center.
  2. Click FERPA icon/link.
  3. FERPA page is information only. (Provides a reminder of responsibility to prevent unauthorized release of student information.)
  4. Click U.S. Dept. Education link for more information.
  5. Contact Records and Registration office if questions or for guidance.

How To's - Grades

Enter student grades

  1. Navigation: CMS Student/HR > Main Menu > Self-service > Faculty Center.
  2. Make sure you are looking at the correct Term.
  3. If not, click the Change Term button to select the correct Term.
  4. Click on the Grade Roster icon for the class that you want to enter grades (to the left of the class name).
  5. The grade roster for the class will display.
  6. Set Grade Roster Type to "Final Grade".
  7. Set Approval Status to "Not Reviewed" until you have entered all grades.
  8. Use the drop down to select the appropriate grade for each student.
  9. If entering a WU, enter the actual date the student last attended or accept default, but do not leave blank.
  10. Click Save periodically.
  11. When all grades are entered, change Approval Status to "Approved".
  12. Click Save.

View student grades for a specific term

  1. Navigation: CMS Student/HR > Main Menu > Self Service > Advisor Center > My Advisee.
  2. Click View Student Information button to lookup a student details.
  3. Enter student's last and first name...Partial name searches are allowed.
  4. Click the Lookup button.
  5. In the search results, if any, click on the correct, hyperlinked student's name. If only one student matches the search criteria you won't see a search results screen.
  6. Change "Student details" to "Grades" using drop down list. Click Change button.
  7. Select term for which you want to view student grades. Click Continue button.
  8. Official grades for term and Cumulative GPA are displayed.

How To's Course Catalog and Class Schedule

View Course Catalog

  1. Navigation: CMS Student/HR > Main Menu > Self-Service > Faculty Center > Class Search tab.
  2. Select Term (e.g. Fall 2012).
  3. Click Browse Catalog radio button.
  4. Click Go button.
  5. Click letter of subject (e.g. "B" for Biology, Business, etc.).
  6. Click on "All Courses" or "Courses with Sections Offered" radio button.
  7. Click on subject you want to view.
  8. Click on Course Number or Description to see course detail and description.
  9. Click on View Class Sections link at the bottom of the page to view all section times offered.

View Schedule of Classes

  1. Navigation: CMS Student/HR > Main Menu > Self-service > Faculty Center > Class Search tab.
  2. Select Term (e.g. Fall 2012).
  3. Click Search For Classes radio button.
  4. Click Go button.
  5. Enter search criteria (Course Subject, Course Number, Career, etc.). To search by subject click "Select Subject" button. Click "Additional Search Criteria" to narrow results.
  6. If you want to see ONLY open classes, check box.
  7. Click "Search" button at bottom right.
  8. To view all sections, Click "View All" on navigation bar.
  9. Click on section description link to see Class Detail page.
